1. Who we are
JT Mind & Body Balance operates the JT Performance Hub. For data-protection purposes, JT Mind & Body Balance is the controller of personal information collected directly through the Hub.
Contact: info@jtmindbodybalance.com.
2. Information we collect
Depending on how you use the Hub, we may collect:
- account details such as name, email address, authentication information and membership status;
- player-profile information such as age range, position, playing level, development goals and parent/guardian confirmations;
- performance information such as training activity, match reflections, journal entries, progress, streaks and Performance Points;
- readiness information such as sleep quality, hydration, energy, muscle soreness, mood, focus, stress load and illness symptoms;
- avatar information, including images or face data you choose to provide to the avatar-creation service and the resulting avatar model;
- technical and security information such as device/browser data, timestamps, authentication events and service logs;
- billing identifiers and subscription status. Payment-card details are handled by Stripe and are not intended to be stored by JT Performance Hub.
3. Readiness and health-related information
Some readiness information — for example illness symptoms, soreness, stress or other information that reveals something about physical or mental health — may be treated as health data and therefore special-category personal data.
Where required, we rely on your explicit consent (or, for a young player, the appropriate consent/authorisation of the adult account holder) to process health-related information for these athlete-monitoring features. You can withdraw consent by contacting us. Withdrawal does not affect processing that was lawful before withdrawal, but some readiness features may no longer work.
4. Children and parent-managed accounts
The Hub is designed so that an account is created and managed by an adult. Where the membership is for a young player, the adult account holder must be the player’s parent or legal guardian and is responsible for supervising the account and the information submitted through it.
We aim to use clear language and collect only information reasonably needed to provide the relevant player-development feature.
5. Why we use information and our lawful bases
Provide the membership and Hub
We use account, profile, subscription and performance information to create the account, verify membership, provide Hub features, save progress and deliver requested services. Our main lawful basis is performance of the contract with the account holder.
Readiness and wellbeing features
We use readiness information to calculate and display readiness scores, trends, journal history and related player guidance. Where this involves special-category health data, we use an appropriate Article 9 condition, including explicit consent where applicable.
Security and service improvement
We may use limited technical information to protect accounts, prevent misuse, investigate errors and improve reliability. Our basis may be legitimate interests in operating a secure and effective service, where those interests are not overridden by the individual’s rights.
Legal and accounting obligations
We may retain or use information where necessary to meet legal, tax, accounting, safeguarding or regulatory obligations.
6. Who we share information with
We use specialist service providers to operate the Hub. Depending on the feature used, these may include:
- Stripe for subscription checkout and billing;
- Supabase for authentication, database and storage services;
- Vercel for website hosting and delivery;
- Avaturn for avatar creation when you choose to use the avatar feature;
- other technology, communications, security or professional providers where reasonably necessary to operate or support the service.
We do not sell personal information. Providers are used only for legitimate service purposes and are expected to handle information securely and in accordance with applicable data-protection requirements.
7. International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we aim to use an appropriate legal safeguard for the transfer, such as an adequacy decision or approved contractual protections, as applicable.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose it was collected, including providing the membership, maintaining account history, resolving disputes, security, safeguarding and meeting legal or accounting obligations.
Our retention decisions take into account whether the account is active, the type and sensitivity of the information, the player’s age, legal requirements and whether the information is still needed. Information may be deleted or anonymised when it is no longer required. You can also request deletion, subject to any information we must retain by law.
9. AI and automated features
The Hub may use automated tools to generate scores, recommendations, summaries or coaching-style guidance from information you submit. These features are designed to support player development and do not replace a qualified coach, doctor, physiotherapist, dietitian, psychologist or other regulated professional.
We do not intend to use these automated outputs to make decisions that produce legal or similarly significant effects about a player.
10. Security
We use technical and organisational measures intended to protect personal information, including account authentication, access controls and secure hosted infrastructure. No online system can be guaranteed to be completely secure, so account holders should use a strong, unique password and keep login details private.
11. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict personal information; object to certain processing; receive certain information in a portable form; and withdraw consent where consent is relied upon.
To exercise a right, email info@jtmindbodybalance.com. We may need to verify the identity of the account holder before acting on a request.
12. Complaints
Please contact us first if you have a concern about how information is handled. You also have the right to complain to the UK Information Commissioner’s Office (ICO).
13. Changes to this notice
We may update this notice as the Hub changes or legal requirements develop. The effective date shown at the top will be updated when material changes are made.
